Administrative Support V - Emergency
Your Opportunity:
The Administrative Assistant works closely with the Patient Care Manager and Unit Managers of the Emergency Department and the Site Managers of Foothills Medical Centre. This position provides senior administrative support and is the first contact for many requests or issues that may arise. The candidate is required to provide a high standard of interpersonal communication and must demonstrate confidentiality, flexibility and initiative. The Administrative Assistant will have a proven ability in establishing and maintaining effective working relationships with internal and external stakeholders. This individual must maintain a positive and professional image in dealing with a variety of issues of varying complexities. Effective time management skills, communication and interpersonal skills are imperative. Previous experience in working in high stress, demanding, multi-tasking work environment. The candidate will provide support for the Managers, CNEs and QCs of the Emergency Department including scheduling work, vacation, sick days, recertification, and courses. The position provides administrative support to the Manager and Unit Managers in Emergency at Foothills Medical Centre regarding the coordination of all staff related activities within the unit. The employee liaises with multiple business areas within the region ex; Regional Staff Scheduling Services, Position Management, Rotation Management. They will be responsible for ensuring that the business of the staffing and scheduling in the unit operates effectively and efficiently which in turn supports the manager in providing quality patient care.

Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:Experience using ESP; data entry, staff requests and operational replacements. Experience using RMS system for posting and recruitment. Payroll experience. Experience using Oracle iProcurement, e-facilities, iExpense. Excellent written and oral communication skills required. Ability to multi-task, prioritize, organize and adapt to a constantly changing environment. Knowledge of FOIP and HIA legislation. 2-3 years recent experience with payroll, payroll codes and understanding of the various collective agreements. Working knowledge of UNA, AUPE AUX, AUPE GSS Collective Agreements as it related to scheduling and payroll functionality. Advanced computer knowledge with excellent knowledge of computer software packages. Proficient in Microsoft Word programs including Outlook, Excel, Word and SharePoint.
Preferred Qualifications:Ability to provide admin support through scheduling interviews, assistance with processing hires in RMS. Advanced knowledge and experience with Connect Care – ASAP module for Emergency. Experience in creating and updating SharePoint and troubleshooting issues. Ordering through Grand and Toy, Oracle, and Data. An interest in leadership and commitment to leadership development.
