Administrative Support IV
Your Opportunity:
The Acute Care Coverage (ACC) Administrative Assistant plays a critical role in the ACC program within the Department of Surgery. The ACC program is responsible for overseeing the Tier 1 call schedules in the different sections of the department. These call schedules are being built collaboratively with the associate physician program and the different residency programs. The ACC program is responsible for identifying gaps in the schedule and to manage these gaps by collaborating with the stakeholders and physicians. The assistant independently manages, and updates schedules and reports, deals with last minute changes and situations that need to be escalated to leadership. Effective communication and collaboration with the different stakeholders such as physicians, residency program administrators, the associate physician team and leadership are key in this role. Functioning as a key point of contact for the different stakeholders, the incumbent must have a comprehensive understanding of the organization and the Department of Surgery and their processes. The incumbent needs to exercise critical thinking, problem-solving, and informal leadership to resolve issues to ensure continuity of business during regular work hours. This position demonstrates excellent judgment, tact, creativity, and initiative in addressing complex scheduling challenges. This position requires strong organizational and multi-talented abilities in a dynamic healthcare setting. This role is instrumental in maintaining operational efficiency within the Department of Surgery and directly contributes to the success of the department.

Some post-secondary education.
Additional Required Qualifications:Minimum of 5 years of experience in healthcare administration, credentialing, medical staff coordination, or similar roles. Previous experience with financial processes such as invoice preparation, payment requisitions, and stipend processing is preferred. Excellent skills in Microsoft Office Suite (Word, Excel, Outlook) and shared drive systems. Exceptional organizational, time management, and attention-to-detail skills. Strong verbal and written communication skills with the ability to interact effectively with physicians, leadership, and support staff. Ability to work independently with minimal supervision while managing competing priorities. Demonstrated problem-solving skills and a proactive approach to identifying and resolving issue. Basic understanding of physician schedules and payment structures within healthcare environments.
Preferred Qualifications:Degree in Business Administration, Health Administration, or a related field preferred. Knowledge of Medical Affairs processes. Experience with ROCA system. Familiarity with Alberta Health Services (AHS), College of Physicians and Surgeons of Alberta (CPSA), and Canadian Medical Protective Association (CMPA) requirements is an asset.
