Your Opportunity:

The position is a front-line administrative role, connecting with the public in the Calgary Zone and supporting front line Public Health Inspectors in their community work. Working under minimal direct supervision, the successful candidate must demonstrate flexibility and show initiative in a busy, high-pressure office by providing administrative support for program activities relating to the Environmental Public Health (EPH). This position will involve assisting program areas with special projects and identifying administrative tasks that need to be assigned to administrative support, designing and building new administrative processes for specialized teams such as plan review, supporting our SharePoint site, ordering and maintaining office supplies and equipment, frequent communication with internal staff, external agencies and members of the public; preparing agendas and taking minutes for provincial committee meetings and troubleshooting/basic maintenance of office equipment. The successful candidate must have the flexibility to accommodate frequently changing roles and responsibilities, ability to respect the confidential nature of healthcare information, handle confidential client information, and carry out duties with frequent interruptions and timeline constraints. Knowledge of basic public health risk assessment is a strong asset as urgent issues/complaints must be communicated to Public Health Inspectors in a timely manner. The successful candidate will be required to provide back-up support to other admin support staff as needed.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Minimum 2 years of experience with Environmental Public Health as well as the EPHIS database. Demonstrable proficiency in SharePoint Online, Microsoft 365 & Office products, including: Outlook, Teams, Excel, Word, PowerPoint & Visio, as well as Adobe Acrobat. Some post-secondary education. Candidates will be asked to complete a skills test/demonstration during the interview. Demonstrable conflict management competencies, organizational and prioritization skills. Ability to work independently and as a team member. Self-directed and self-motivated. Ability to work at a fast pace. Ability to maintain discretion and confidentiality. Minimum typing speed of 50 words per minute. The position requires a hybrid working environment with a minimum of two days working within an office environment in the Calgary Zone. Handling sampling supplies, lifting and loading coolers up to 50 pounds, on and off high surfaces. Prolonged periods sitting at the desk and working on a computer.

Preferred Qualifications:

Genesys, RMS, e-People, experience working in virtual team settings.
