Your Opportunity:

Supporting the Senior Lead of Correctional Health Services, the Executive Administrative Assistant is responsible for providing senior administrative management services for the Senior Lead and the organization and participates in planning and implementation of initiatives and projects and achieving the goals and objectives of the organization. This position acts on behalf of leadership in fulfilling operational accountabilities and assisting leadership in managing a wide scope of responsibilities in accordance with priorities for Correctional Health Services. They will provide services in office management, issues management, strategic planning support, portfolio support, committee support, project management, stakeholder liaison and executive administrative support. This position will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives in Corrections Healthcare. This position assists in the management of correspondence, documents, data collection; maintains appointment calendar, coordinates and schedules meetings, prepares meeting packages and takes and distributes minutes; processes invoices, expense claims, time entry, and assists with IT issues. This position is responsible for supporting and organizing several related activities to ensure the goals and objectives of the team are accomplished. The incumbent will be required to provide a high standard of interpersonal communication and must demonstrate confidentiality, flexibility, and initiative working with members of the Correctional Health Services Leadership Team. The incumbent will achieve the goals and objectives of the portfolio and assist in managing a wide range of sensitive and complex issues. Required Qualifications:

Bachelor’s degree in Business Administration, Communications or a related field. Minimum of three years’ experience in a senior administrative role supporting executive leaders. Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, MS Teams). Working knowledge of SharePoint software. Working knowledge of AHS and Recovery Alberta systems and processes including familiarity with policies, financial practices, human resource activities and information systems. Minimum of five years’ experience working within a large and complex healthcare organization.

Additional Required Qualifications:

Previous experience in a large, complex organization, particularly within the healthcare field, is preferred and considered an asset. Ability to multitask and work efficiently within a fast-paced environment with constant interruptions and changing work demands required. Demonstrated ability to problem solve and use creative thinking. Excellent time management and interpersonal skills required. Demonstrated ability to effectively work independently as well as within a multidisciplinary team. Accurate data entry and attention to detail skills required. Intermediate computer and keyboarding skills required. Demonstrated knowledge navigating through and working with a variety of computer applications including Outlook, Word, Excel, Connect Care, Markview, ESP, Insite, Sharepoint and ePeople required. Experience in an addiction and mental health setting, preferably an acute care environment.

Preferred Qualifications:

A combination of education and experience may be considered. Experience supporting executive leadership and physician portfolios considered an asset. Clerical experience in an acute, fast-paced, time sensitive healthcare environment. Excellent communication, telephone, and organizational skills. A positive attitude, demonstrate a professional image, exceptional customer service ability, be a strong team player, a problem solver and be flexible with ability to adapt to change.
