Your Opportunity:

This is an exciting opportunity at the Strathcona Community Hospital. This facility offers a 24/7 Emergency Department, a variety of outpatient Ambulatory Clinics, Laboratory and Diagnostic Imaging services. Reporting to the Site Director, the incumbent provides admin and professional support to ensure (Site Admin, Emergency, Ambulatory Care Clinics, and IV Therapy Clinic). This would include but not limited to. Back-up support for the Admin Support IV positions (ED and ACC/IV Therapy Clinic). Maintain calendars for Site Director/Managers (scheduling meetings, appointments, site room bookings. Assist with timekeeping/time entry within ePeople. Collaborate with Staffing to ensure Daily Flow Sheets/Overtime/Shift Redistribution Forms are correct. Work with Payroll to resolve issues. Assist with recruitment within RMS (posting, shortlisting, setting up interviews, onboarding, letters, etc.). Assist with budget reconciliation (iExpense) Assist in ordering equipment/supplies (via vendor as a direct purchase, Oracle, CPSM, or Grand & Toy). Obtaining quotes etc. Preparation of agendas/minutes for committees and meetings. May provide administrative support to CNE with site/unit-based tasks. Transcription/preparation of documents/presentations/memos/letters/spreadsheets/data. Liaise with Site Leads to update and maintain site contact phone list and departmental distribution list updates via the ARS (Active Roles - Directory Data Management System). Assist with special projects, site-wide events, site signage, patient updates, etc. Maintenance of accurate work files, while working with confidential information. Assist with the onboarding/interviewing/orientation of Volunteers. General office duties: filing, photocopying, laminating, familiarity with computer equipment and technology/troubleshooting, etc.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

High school diploma and/or formal education from a recognized post-secondary institution in Secretarial Arts, Office Assistant, or Business Administration preferred (an equivalent combination of education/related current experience may be considered acceptable). Min. 3 years recent experience in an administrative position providing operational support. Meeting preparation and minute taking expertise required. Must have recent (within 1 year) experience and demonstrated expertise working with RMS. Demonstrated ability to prioritize workload, work within fixed deadlines, and manage frequent interruptions in a multi-disciplinary, fast-paced environment. Demonstrated effective written and verbal communication skills (often working with internal/external stakeholders) while maintaining confidentiality, critical thinking, flexibility and organizational skills are required. Exhibits excellent time management, prioritization, conflict management skills, interpersonal and customer service skills. Able to work in a fast paced, patient focused environment. Demonstrated knowledge of computer technology and applications (including, but not limited to: Word, MS Teams, Excel, Outlook, SharePoint, Oracle, PowerPoint) required along with the ability to learn new software programs.

Preferred Qualifications:

ePeople timekeeping experience is an asset. Previous experience with Hand Hygiene audits would be an asset. Successful completion of a Medical Terminology course would also be an asset.
