Your Opportunity:

Under the supervision of Site Director, the Administrative Support IV serves as a connection between the Strathcona Community Hospital and Staffing Services Centre. The Administrative Support IV will support the site-based programs and communicate with the Staffing Service Center to update Environment for Scheduling Personnel (ESP) with any schedule changes and inform the other party as per established ESP timelines. The Administrative Support IV is responsible for communicating any staffing changes requiring addition or removal of shifts from the console. This position will meet weekly with Site Director, Managers, Site Admin Assistants and Staffing Services Center to review outstanding shifts, hot spots, assignments, new hires, line assignments, vacancy and leave reports. They are responsible for timekeeping tasks for the Strathcona Community Hospital Emergency Department/ Ambulatory Clinics / IV Therapy/ Nurse Practitioners including the review of timecards, Daily Flow Sheets, and entry of bank payouts in timecards. The incumbent will also assist the Site Director/Managers with the coordination of vacation requests, annual vacation planners and mutual agreements as well as assisting with communication to staff. Strong communication and interpersonal skills required. Courteous and pleasant telephone manners and proven organizational skills with the ability to prioritize work, multitask, with minimal supervision required. Proven reliability and dependability required and the ability to work as a team in a fast-paced environment while adapting to frequent interruptions and shifting priorities. Admin IV responsibilities will also include other office duties such as manager scheduling, room and meeting bookings, coordinating meetings, covering for admin responsibilities, preparing educational packages, and additional routine administrative duties.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

A minimum of five years’ experience in staff scheduling. Demonstrated competency in ESP, E-People, Microsoft, Excel and Word. Must demonstrate attention to detail. Demonstrated knowledge of all AHS Collective Agreements.

Preferred Qualifications:

Additional education in office administration an asset. Experience working in a unionized, health care and/or 24/7 environment. Experience with AHS scheduling software (Kronos, ESP, ASC).
