Administrative Support IV
Your Opportunity:
This position provides high-level, professional administrative support to 3-5 academic physicians within the Department of Pediatrics, Section of Neonatology out of South Health Campus. The incumbent will be responsible for supporting the coordination and management of the daily activities of assigned physicians, including research, medical education, and administrative or medical leadership commitments. They will book one Antenatal Clinic through Connect Care. They will also provide backup admin support within the larger NICU administrative team as required. In order to function effectively in the role, the incumbent should have a comprehensive understanding of the operations of both Alberta Health Services and the University of Calgary, Cumming School of Medicine. Experience in the areas of medical education and/or research would be beneficial. The successful candidate will be proactive, self-directed, and able to work as part of a cohesive team. Sound judgment, tact, creativity, and initiative are required to balance a mix of regular, recurring tasks and larger projects or initiatives. This role is often the first point of contact for both internal and external stakeholders, and professionalism is paramount in representing the Department, Section, and Physicians. Regular hours for this position are 08:00-4:15 Mon-Fri. We do offer a hybrid work from home option of one day per week.

Additional Required Qualifications:Equivalent experience of 3 years at an intermediate executive administrative level may be considered. Attention to detail, accuracy, and time management. Strong communication skills. Minimum intermediate competency in Microsoft Office Suite and Sharepoint Online. Previous experience with calendar management, minute taking, and creating agendas. Previous experience coordinating events for symposiums or medical retreats is a strong asset. Demonstrated ability to handle confidential information with appropriate tact and diplomacy. Previous experience with basic accounting and managing expenses (U of C Research and Trust Accounting experience preferred). Preferred Qualifications:2 Years of full-time experience in an intermediate administrative capacity in a Health Care setting. 2 Years of experience managing calendars, minute taking, and creating agendas. Previous event or conference planning experience. Previous scheduling experience (health care scheduling preferred). Previous experience with Regional On-Call Application (ROCA). Medical Terminology.
