Your Opportunity:

The Administrative Support IV for the Centralized Associate Physician Program will report directly to the Program Manager and be responsible for efficiently scheduling Associate Physicians across various acute care sites within the Calgary Zone. This role involves coordinating schedules to ensure appropriate coverage in all departments and locations, using scheduling software such as eSummit and ROCA. The incumbent will manage absences, leave requests, and schedule changes, ensuring clear communication with all stakeholders. Additionally, they will assist in creating and delivering orientation sessions and materials for Associate Physicians. Other duties include taking meeting minutes, managing calendars, and scheduling meetings as needed. The role also requires troubleshooting scheduling issues, balancing competing priorities, and adjusting schedules to meet deadlines. The successful candidate must demonstrate excellent organizational and communication skills, the ability to manage multiple demands, and the capacity to work effectively under pressure to meet critical deadlines.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Post-secondary qualification in Office Administration, Business Administration, or related field. 2-3 years’ experience with scheduling software (eSummit, ROCA). 2-3 years’ experience with Microsoft Office Suite, including proficiency in Excel, Word, PowerPoint, and Outlook. Strong organizational skills, attention to detail, and ability to manage multiple tasks. Proven problem-solving abilities and a proactive approach to administrative duties.
