Administrative Support IV
Your Opportunity:
The Administrative Support IV under the Centralized Associate Physician Program will report directly to the Program Manager and be responsible for the timely and efficient scheduling of Associate Physicians at various acute care sites across the Calgary Zone. This role is essential in coordinating schedules to ensure adequate coverage across all departments and locations, using scheduling software such as eSummit and ROCA. In this role, the incumbent will manage and track absences, leave requests, and schedule changes, ensuring clear and effective communication with all relevant stakeholders. Additionally, they will assist in the design and delivery of orientation sessions and materials for the Associate Physicians. The Administrative Support IV will also be responsible for taking meeting of meetings, managing calendars and scheduling meetings as required. The incumbent will also be responsible for troubleshooting any scheduling issues, balancing competing priorities, and adjusting schedules as needed to meet deadlines. They will also be required to distribute finalized schedules and promptly notify staff and Associate Physicians of any changes. The successful candidate must demonstrate superior organizational and communication skills, the ability to handle multiple competing demands, and a strong capacity to work under pressure to meet critical deadlines.

Additional Required Qualifications:Post-secondary qualification in Office Administration, Business Administration, or related field. 2-3 years’ experience with scheduling software (eSummit, ROCA). 2-3 years’ experience with Microsoft Office Suite, including proficiency in Excel, Word, PowerPoint, and Outlook. Strong organizational skills, attention to detail, and ability to manage multiple tasks. Proven problem-solving abilities and a proactive approach to administrative duties.
