Executive Associate - Health Shared Services

As Executive Associate to the Chief Executive Officer (CEO) of the newly established Health Shared Services, you provide strategic advice, issues management, and senior-level administrative leadership that supports both the CEO and the broader portfolio. You will help shape how information flows through the office, setting clear processes that ensure the CEO is fully briefed on emerging issues, priorities and decision items. You will build strong relationships across the organization, establish productive communication channels, and work closely with senior leaders and partners across the health system. You will also support the CEO in long-range planning, corporate coordination, portfolio policy and program oversight, and the operational management of sensitive and complex issues. The Executive Associate creates and builds commitment to the Health Shared Services vision by enabling effective communication strategies that enable organizational success This role is eligible for hybrid work arrangement and can be located anywhere in the province of Alberta. Health Shared Services (HSS) is a Provincial Health Corporation (PHC) with over 15,000 employees delivering corporate, non-clinical services and functions to the Alberta health system.
Description:
Working directly with the Chief Executive Officer, the Executive Associate provides senior administrative management support and issues management leadership for the office of the CEO. The role is responsible for office operations, communications and information flow, decision support, project oversight, committee coordination and portfolio planning. It ensures the CEO is briefed on emerging issues, oversees the management of inquiries and urgent requests, and establishes processes to support consistent, timely and accurate information management. The position acts on behalf of the CEO where appropriate, resolving issues and coordinating with senior leaders to address matters of substantial significance. It provides advice, analysis and recommendations on administrative, organizational and policy-related matters, and contributes to long-range planning and corporate activities across the portfolio. The role builds collaboration, consistency and continuity within the CEO’s office and across HSS by developing strong relationships, offering strategic support, and enabling effective communication strategies. The Executive Associate also leads or provides direction in areas such as personnel management, recruitment activities for executive administrative roles, and coordination of portfolio programs and processes. This role manages complex, sensitive issues with organization-wide impact, prepares briefing materials and recommendations, and supports both operational and strategic decision-making within the CEO’s office.

Bachelor’s degree in health services administration, business administration, or a related field, or an equivalent combination of education and experience. Minimum of five years of management-level administrative support experience, including experience supporting executives or senior leadership, preferably in a health care environment.
Additional Required Qualifications:
The successful candidate brings experience in issues management and project management, along with the ability to exercise sound judgment when handling highly confidential and sensitive information. They are skilled in drafting documents, writing briefs, preparing speaking notes and managing information for executive audiences. They demonstrate strong communication skills, work effectively both independently and as part of a team, and are comfortable navigating a large and complex organization with multiple stakeholder groups. The role requires the ability to collaborate with senior leaders, coordinate across portfolios, and manage a range of complex and time-sensitive issues with discretion and professionalism. Equivalencies of education, experience and skills may be considered.
