Administrative Support VI
Your Opportunity:
We are currently seeking a highly organized, meticulous, results-driven, administrator for the role of Administrative Support VI – Program Administrator for the Section of Neurosurgery within the Department of Clinical Neurosciences (DSNS) team. You are an invaluable asset to our Clinical Neurosciences Department, providing support to our residents, clerks, observers and neurosurgeons. You will support our Section Head for Neurosurgery with scheduling, communications, quarterly accountability data, division research accounting, monthly meeting support, periodic reviews, physician recruitment, physician on call payments, retreats and events, and managing personnel files. A large part of this role will be for you to assist the residents with onboarding, scheduling, registration and orientation, research day coordination, retreats and supporting the Program Director. Managing remediation activities, coordination and support of evaluations and examinations, financial disbursements, data and information management, Canadian resident matching service (CaRMS) support and program reviews for the Royal College. You will also support the division with DCNS finance within the U of C including start up funding and transfers, annual budget presentation support, account reconciliation and monthly meetings. And other tasks as required.

Completion of post-secondary education (e.g. diploma in business or office administration, specialized external certification).
Additional Required Qualifications:To ensure your skills and qualifications are considered, please attach a resume and cover letter with your application. 5 years’ senior administrative experience in a teaching hospital/multidisciplinary medical or educational institution is required to understand the complex relationship between clinical operations and educational programming. Minimum 3 years’ experience with residency programs or fellowship programs and supporting senior leaders. Demonstrated advanced proficiency in the use of personal computers and various network and software applications (Outlook (calendar & email), Teams, Word, Excel, Power Point). Strong skills working with databases including configuration, analysis/querying, and data quality. Typing 60-70 wpm. Excellent communication skills – written and oral. Resiliency and flexibility; ability to work under pressure, strong work ethic. Excellent organizational skills: ability to manage and prioritize work effectively. Strong problem solving and conceptual skills. Excellent time management skills and the ability to handle multiple projects simultaneously. Self-directed and able to work under minimal supervision. Ability to foster and promote teamwork, collaboration and partnership. Flexibility/adaptability to management styles. Demonstrated a record of excellent attendance. Openness to feedback and a proactive approach to professional development. Comfortable working in an unstructured environment and dealing with change and uncertainty.
Preferred Qualifications:Recent, relevant experience in One45, MedSIS, Peoplesoft and CaRMS. Experience in Clinical Neurosciences training programs is a strong asset.
