Administrative Support V
Your Opportunity:
Reporting to the Site and Urgent Care Manager, the Administrative Support V provides advanced level secretarial and administrative support for the leadership team, administration and health care professionals within the Okotoks Health + Wellness Centre/Okotoks Urgent Care. This role is the primary scheduler and timekeeper for the Urgent Care. The Administrative Assistant V is responsible for ensuring the effective functioning of the Health Centre and Urgent Care, assuming a leadership role to ensure that the administrative support, human resources, site and building operations, and secretarial functions are performed to a high and consistent standard. Ensures key processes, building operations and supply levels are performed/ kept to consistent standards. The Administrative Assistant V must be able to work independently in a complex environment and perform under pressure, handling and organizing multiple demands with shifting priorities, which impact one or all areas / providers and patients within the center. Responsibilities of the Administrative Support V require independent judgment, must be self-directed, and have solid knowledge of departmental, organizational policies and procedures, union collective agreements, scheduling and payroll practices. The Administrative Assistant must demonstrate judgment and discretion in dealing with highly sensitive and confidential issues. The incumbent must maintain a positive and professional image in dealing with a variety of issues of varying complexity; which require diplomacy, tact and confidentiality. The position requires flexibility in hours to accommodate the demand of the workload.

Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:Previous experience with complex workforce scheduling, timekeeping, and payroll processes required. Strong organizational, communication, interpersonal, and problem-solving skills are essential. Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, and eManager is required. Experience using SharePoint for document management, collaboration, and records maintenance is required. Demonstrated ability to prioritize competing demands, maintain accuracy, handle confidential and sensitive information, and work effectively both independently and collaboratively in a fast-paced environment. Able to meet the physical demands of the role, including frequent walking and standing, reaching, and lifting/pushing/pulling up to 25 lb.
Preferred Qualifications:Minimum 3-5 years experience in a current or similar role. Experience working in a complex unionized healthcare environment. Experience with payroll administration and human resource processes. Experience preparing reports, managing confidential information, and supporting financial and operational processes is considered an asset. Works independently in a changing environment with short timelines. Knowledge of UNA, AUPE ANC, AUPE GSS and ANP collective agreements.
