Your Opportunity:
Children, Youth & Families Community Clinics and Stollery, Community Outreach & School Based Services portfolios have an opportunity for a detail-oriented, self-motivated and experienced multitasker to join our team. As the Admin Support V, you will fill a key role supporting the Program Managers and are expected to assist in effective and efficient administrative management of a wide scope of responsibilities encompassing multiple sites and services. This position offers flexibility in the location of the primary site, with the expectation of travel for staff orientation and project support as needed. Please note that this is an in-clinic position with no hybrid/work from home option. The incumbent will perform a variety of administrative functions including calendar management, meeting organization, preparing and editing correspondence, reports, presentations and other documents, minute taking, supporting recruitment, purchasing, reconciling invoices and assisting with other clerical tasks that are required to support the program. Along with these administrative tasks, the successful candidate will provide oversight, support and direction to the Administrative Support III and IV staff. A high standard of critical thinking, problem solving, and strong organizational skills are required along with the ability to manage various competing demands with tight deadlines, working independently with minimal supervision. Creativity, flexibility, initiative and attention to detail are important elements for success. The position displays leadership within its own peer group. The position requires the ability to be collaborative, maintain a positive, respectful and professional demeanor.

Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:Secretarial or Office Administration certification/diploma required. Must have three to four years of administrative/secretarial experience, preferably within a healthcare setting. Equivalent combination of education and experience may be considered. Must have advanced/intermediate knowledge of computer technology and applications including but not limited to RMS, Internet/Intranet, Connect Care, Tableau, ESP, finance applications such as Oracle to reconcile invoices, e-Facilities, IT/HR Service Hub, and as well as all Microsoft Suite Applications (Word, Excel, PowerPoint, OneDrive, Outlook, Teams). Resilience, flexibility and adaptability in a complex, rapidly changing environment. Position requires excellent organizational/public relation skills; strong commitment to customer satisfaction; high level of tact and discretion; sound judgment and the ability to work independently under pressure and within short timelines—without compromise to quality. Preferred Qualifications:At least 3-5 years of progressive experience providing administrative and operational support to a Senior Leader. Experience supervising administrative staff. Minimum 2-3 years of experience working in a community-based addiction and mental health environment. Minimum typing speed of 60 wpm, with excellent formatting, grammar, syntax and proof-reading skills and overall attention to detail.
