Administrative Support IV
Your Opportunity:
The Administrative Support IV provides comprehensive administrative support to assigned oncologists within the Department of Oncology, supporting their clinical, academic, and administrative responsibilities. The position serves as a key liaison between physicians, patients, staff, external partners, and the public, ensuring effective communication and coordination. Key responsibilities include managing patient documentation, processing insurance and prescription requests, triaging inquiries, and supporting appropriate clinical workflows. The role also provides academic and administrative support, including preparation of curriculum vitae, reports, grant applications, correspondence, presentations, and financial reconciliations. Additional responsibilities include calendar and meeting management, agenda preparation and minute-taking, coordination of educational activities and clinical rounds, travel and expense coordination, invoicing, project support, and maintenance of departmental records. The incumbent will use Connect Care and other organizational systems, develop a strong understanding of departmental workflows, and provide coverage for colleagues as required. The successful candidate will demonstrate strong organizational, communication, interpersonal, and problem-solving skills, with the ability to manage competing priorities in a fast-paced environment. Sound judgment, discretion, attention to detail, confidentiality, and the ability to work both independently and collaboratively are essential.

Additional Required Qualifications:Minimum two (2) years of progressively responsible administrative experience in a healthcare and academic environment supporting multiple physicians. Experience providing clinical, academic, educational, research, and administrative support is required, preferably within Medical Affairs, Oncology, or a related specialty. Completion of a medical terminology course is required. The successful candidate must demonstrate advanced proficiency with Microsoft Office applications, strong written and verbal communication skills, and exceptional organizational abilities. The ability to manage competing priorities, adapt to changing demands, exercise sound judgment, maintain confidentiality, and work independently with minimal supervision is essential. Strong critical thinking, problem-solving, and interpersonal skills are required, along with a commitment to professionalism and high-quality service. Preferred Qualifications:Department related experience with Connect Care workflows and processes. Experience using Netcare. Training or coursework in professional writing and communication.
