Your Opportunity:

Reporting to the Clerical Supervisor and Managers of the Gastroenterology (GI) and Hepatology Program, the Casual Administrative Support IV (Procedure Booking Clerk) supports the delivery of efficient, patient-centered outpatient services. Acting as a liaison between patients, physicians, nurses, and multidisciplinary teams, this role helps coordinate care and facilitate timely access to GI and Hepatology services. Key responsibilities include booking, rescheduling, and confirming clinic appointments; scheduling endoscopy procedures and diagnostic tests; processing physician orders; retrieving reports and results; and providing patients with verbal and written appointment and preparation instructions. The successful candidate will communicate with patients and healthcare providers across multiple inpatient and outpatient settings to ensure seamless coordination of care. Additional responsibilities include assisting with insurance coverage and program enrollment processes and performing a variety of administrative duties to support program operations. Working in a high-volume, fast-paced environment, the Administrative Support IV must demonstrate strong organizational, communication, customer service, and multitasking skills, while maintaining a high level of accuracy and attention to detail. Opportunities for cross-training in other Administrative Support IV roles, including Clinic Medical Office Assistant (MOA) and Endoscopy Unit Clerk, may be available. Shifts are 7.75 hours in length, Monday to Friday between 0800 and 1700, and may be adjusted to meet operational requirements.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Completion of Medical Office Assistant course. Minimum of one to two years in a medical clerical position required. Minimum one year of experience booking appointments, procedures, and diagnostic tests in a healthcare setting required. Demonstrated ability to manage a high-volume workload while maintaining accuracy and attention to detail required. Demonstrated proficiency with Microsoft Office Suite (Outlook, Word, Excel) and Connect Care with keyboarding speed of min 50 wpm required. Strong customer service skills with the ability to communicate effectively and professionally with patients, families, physicians, and interdisciplinary team members required. Excellent organizational and time-management skills with the ability to coordinate multiple priorities and meet deadlines required. Ability to work with minimal supervision, prioritize, problem-solve and handle frequent interruptions required. Availability to orientate minimum 3 days per week over 2-3 months to become proficient in role is required.

Preferred Qualifications:

Previous gastroenterology/hepatology experience preferred. Experience working within the connect care referral coordinator role with work queue experience preferred. Previous experience working in a high-volume scheduling setting preferred.
