Your Opportunity:

We are seeking a caring and detail-oriented individual to join our Public Health (PH) Team. This Administrative Support (AS) IV position is a key member of the PH team, working with the PH Manager, to provide integrated, strength based, family centered PH care. The incumbent works independently in a fast-paced environment and plays a critical role in maintaining effective and efficient operations within the PH centre/program. As a member of the multidisciplinary team, the AS IV is responsible for supporting daily operations of PH services including patient service functions, data entry, report creation, records management, ordering, scheduling, human resource support, mentorship, and quality improvement activities. The successful candidate is skilled at anticipating the needs and demands of management, staff, and clients. This position reports to the Operation and/or Program Manager(s). The AS IV is privy to confidential and sensitive information and will be required to use this information to complete tasks. This position requires: Prioritize daily workload to meet the needs of the health centre/program. Manage Operations/Program Manager’s calendar(s) by coordinating meeting/engagements dates, times and required resources (e.g., meetings, HR, Room booking, equipment, conflicting priorities). Responds to client/operational issues and concerns consistent with applicable processes, procedures, and guidelines. Carry 25 lbs. of equipment, carry out awkward and repetitive movements for up to 7.75 hours, including sitting, standing and/or bending for long periods of time. Comply with appropriate hand hygiene techniques, including regular use of alcohol-based hand sanitizer and antibacterial soap. Handle frequent interruptions and still meet workload timelines. Note: Those selected for an interview may be required to complete a skills assessment.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Formal medical office administration education from a recognized post-secondary institution. An equivalent combination of education and experience may be considered acceptable. Minimum 2 years related experience relevant to secretarial/administrative support. Demonstrated effective written and verbal communication skills. Public relations skills are essential. Deliver exceptional customer services. Knowledge of computer technology and applications including website navigation, office or business applications, health database use (ePeople, Netcare, Meditech, Connect Care or other), Microsoft Office Suites. Prioritize workload to meet established turnaround times. Adhere to strict organizational policies, procedures, and legislated requirements regarding patient confidentiality. Handle frequent interruptions and still meet workload timelines. Prepares and disseminates required documentation to support operational/program activities. Provides support for financial activities. Work in a loud, chaotic, busy environment with clients of all ages. Perform administrative duties to support programs and services within the Edmonton Zone PH portfolio and completed with a high-level accuracy independently but also interdependent within a larger team environment across multiple sites/programs. Compose, edit and format documents, reports and correspondence according to established templates, procedures or specific instructions.

Preferred Qualifications:

Valid driver’s license and reliable vehicle is preferred. Mindfulness about cultural and gender diversity and positive regard towards clients. Non-violent crisis intervention. Experience coordinating/managing administrative projects an asset.
