Your Opportunity:

The Administrative Support IV position, reporting to the Fleet Director, plays a vital role in providing specialized administrative support for the effective operation of EMS fleet functions. The core responsibility is managing administrative tasks related to compliance with Emergency Health Services (EHS) legislation, regulations, program requirements, and the National Safety Code (NSC) legislation. The position involves comprehensive administrative work to ensure the successful execution of a large-scale compliance program for 650 emergency response and support vehicles, 230 EMS stations, and 3,600 paramedic staff. Key duties include maintaining accurate records for legislative compliance, supporting ambulance collision reporting, and assisting in the preparation of monthly, quarterly, and annual EHS and NSC compliance reports. This role is essential in helping EMS maintain adherence to various legislative requirements. We are seeking a highly organized and proactive Administrative Support IV to support various Emergency Health Services (EHS) program activity outcomes. Key responsibilities include maintaining accurate records of EHS inspections, managing ambulance collision reporting, and preparing monthly and quarterly reports on fleet performance, compliance, and collision statistics. The Administrative Support IV will also be responsible for documenting meeting notes, tracking compliance issues, and managing the renewal process for licenses and permits. Additionally, the Administrative Support IV will ensure compliance with National Safety Code (NSC) standards, manage vehicle and driver profiles, and assist in monitoring driver hours and inspections. Strong organizational and communication skills are essential for success in this role.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Completion of post-secondary education (e.g. Office Administration Management or Business Administration Diploma). Valid Class 5 Driver’s License and valid driver abstract record with maximum 6 demerit points. Minimum of 3 and preferred 5 years’ experience in all aspects of Office Administration. Experience performing large scale data entry, and file management, experience with completion of corporate reports and extensive use of Microsoft Office Suite of Products. Demonstrated knowledge and experience with excel spreadsheets, access databases, and computer software programs in people, equipment or fleet management. Experience in creating and developing various management reports and statistics using Microsoft Office suite of Products.

Preferred Qualifications:

Microsoft Office - Advanced skill level Word, Outlook, Excel, Access, and PowerPoint. Keyboarding - 60 words per minute. Records Management - intermediate skill level. Presentation skills including virtual video/teleconferencing. Experience with Fleet Management Information Systems such as Holman & Geotab. Experience working in a commercial fleet environment.
