Your Opportunity:

This position provides operations support for all employees of Health Information Management in Edmonton and area on the staff scheduling application. The incumbent is responsible for immediate, next day and future staff replacement needs for assigned areas. The incumbent must comply with the established scheduling policies, procedures and requires extensive knowledge of the organization and operations of specific areas assigned. Ensures that employee scheduling data is recorded in a timely, accurate manner in the staff scheduling system to ensure employees are scheduled and paid appropriately, in accordance with established policies, procedures and collective agreement provisions. The incumbent will work closely with all members of the department management team adjusting schedules for sick calls and other emergency coverage and providing feedback to management team on the ability to provide time off for planned or unplanned absences based on availability of staff. Ensures that timekeeping entry is completed appropriately and accurately based on the time lines on posted schedule information and is responsible for processing any adjustments necessary. Provides support to management team by maintaining and providing reports, records and statistical information. All work is done in a fast paced dynamic work environment, with minimal supervision, requiring strict adherence and sensitivity to confidentiality. The working environment is one of constant interruptions, short timelines, constantly changing deadlines and work assignments, which require continual adjustments to the daily organization and prioritization of workload and assigned tasks. The incumbent will act as a role model for peers and other office staff. The incumbent is expected to promote and foster a team attitude of acceptance and tolerance within the office.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

3-5 years’ experience in a customer service environment or equivalent is required. Preference will be given to candidates with recent staff scheduling office experience and timekeeping experience. Computer keyboarding experience of 40 wpm is required and will be demonstrated through a skills test. High level of communication skills both written and verbal, interpersonal skills, listening, interpretative skills, ability to anticipate needs of area are required. Demonstrated telephone skills are required. Must be proficient and experienced with email, Microsoft Word and Excel. Must be detail oriented, have a high-level critical thinking and have the ability to prioritize and adapt to changing demands and pressures in a deadline-driven environment is required. Excellent analytical, organizational, follow-up and problem-solving skills are required. Must have superior conflict resolution skills. Must have a high degree of initiative and self-motivation-able to work independently under minimal supervision. Post-Secondary education is an asset. Experience with completing timekeeping processes is preferred.

Preferred Qualifications:

Attention to detail and ability to prioritize and adapt to changing demands and pressures in a fast paced, dynamic, deadline-driven environment is required. Must have sound decision-making skills and be able to exercise judgment, professionalism, diplomacy and secretion, particularly when dealing with highly sensitive and confidential issues. Experience with timekeeping and/or scheduling software is an asset. e-People and ESP software experience is preferred.
