Administrative Support III
Your Opportunity:
The Administrative Support III (Casual) reports to the Facilities Operations Manager and provides administrative support to the Outpatient Residence (OPR) Front Desk Reception. Key responsibilities include greeting guests; completing patient registration and discharge; collecting payments; and responding to inquiries by phone, email, and in person. The role supports the upkeep, safety, and cleanliness of hotel-style rooms by preparing daily housekeeping lists, reporting safety concerns, and entering and triaging maintenance requests through e-Facilities, including coordinating required work with Facilities Maintenance skilled trades. This casual position requires availability to work weekdays and weekends (including Saturdays, Sundays, and Statutory Holidays), day shifts (7:00 am – 3:15 pm), evening shifts (2:45 pm – 11:00 pm), and/or over night shifts (11:00 p.m. – 7:15 a.m.), for up to 0–16 hours per week on an as-needed basis.

Completion of Grade 12 or equivalent.
Additional Required Qualifications:The successful candidate must be able to perform physical rounds throughout the Outpatient Residence, including stairwells, lounges, and common areas, to ensure safety, security, and cleanliness (e.g., monitoring for unsecured doors, hazards, or inappropriate use of space). The role requires the ability to sit and stand for extended periods, walk frequently throughout the site, and perform repetitive tasks such as keyboarding. The successful candidate will possess a minimum of two (2) years of recent, related administrative experience, including (but not limited to) data entry, managing multi-line phone systems, calendar coordination, and basic accounting functions such as invoice preparation. Additional requirements include a minimum typing speed of 45 WPM, experience with timekeeping systems, and familiarity with maintenance terminology and work order management systems. The candidate must be able to maintain professionalism and accuracy while responding to ongoing operational needs. Preferred Qualifications:As an Administrative Support III, you will require advanced administrative and organizational skills to support complex procedures, practices, and initiatives within the Outpatient Residence program. The role is a high-volume, fast-paced front-line position that requires managing frequent interruptions, multitasking, and prioritizing competing demands in a time-sensitive environment.
