Your Opportunity:

Assistant provides the Administrative essential support to the Workplace Health and Safety (WHS) Occupational Health Nurses and reports directly to that team's WHS Manager/Senior Advisor and/or Director. This Administrative Support III position assists with the day-to-day operation of the OHN team by providing a full range of administrative duties associated to the Communicable Disease Assessment (CDA) process needs. This position will also include at times provide a wide range of administrative duties for the WHS team and the manager/senior advisor and includes relief for the administrative positions within the WHS team. Key Responsibilities: Receives CDA forms, processes the forms, enters data into the various data base as required and ensures the information is complete. Coordinate and manage the CDA Escalation Process. Maintains confidentiality with respect to the data received and entered. Works with the Director and/or Manager and/or OHN team to ensure data is entered and followed up within various spreadsheets and data bases such as MySafetyNet and/or Meditech etc. Receives and retrieves communications from the shared WHS email and/or WHS Director/Manager and ensures that information is transferred to the appropriate WHS OHN and/or other stakeholders. Enters data received from various processes into MySafetyNet. Assists the OHN team by scheduling appointments, assisting with data entry, taking messages assigning out to appropriate OHN as they relate to CDA work.

Required Qualifications:

Completion of Grade 12 or equivalent.

Additional Required Qualifications:

Advanced MySafetyNet user experience required (minimum of two years' experience related to MSN) This position will provide advanced level clerical and or administrative support of an office or program. Competence in the use of word processing, spreadsheets and database programs. Considerable knowledge of modern office practices, procedures and equipment. Knowledge of data entry and word-processing and spreadsheets. Excellent communication/interpersonal/organizational skills. Excellent formatting, grammar, syntax and proofreading skills. Ability to complete duties with numerous interruptions. Ability to prioritize and balance workload. Ability to coordinate meetings. Ability to handle incoming phone calls in a courteous and effective manner.

Preferred Qualifications:

High School Diploma and two years of related health care experience would be an asset.
