Your Opportunity:

The Claresholm Centre for Mental Health & Addictions is a 120-bed facility with an attached outpatient program (Community Support Services) offering 40 spaces. The site includes three primary inpatient units: Concurrent Disorders, Active Psychiatric Rehabilitation, and Extended Psychiatric Rehabilitation and Transitions. Professionals at the Centre are committed to supporting each individual’s potential for development and recovery through a collaborative, person-centered approach. The multidisciplinary team includes nurses, social workers, psychiatrists, psychologists, physicians, pharmacists, recreational and occupational therapists, dietitians, and other mental health professionals. Once patients are ready to transition back to community living, they are supported through coordinated follow-up care, outpatient programs, and outreach services—forming a comprehensive and flexible treatment model. Administrative staff play a vital role in supporting the delivery of these services. As key members of the healthcare team, they ensure the smooth functioning of daily operations and act as a critical link between patients, families, and care providers. Their work behind the scenes is essential to maintaining the efficiency, organization, and compassionate environment that enables effective mental health care. Required Qualifications:

Completion of Grade 12 or equivalent.

As an Administrative Support III, you act as the first point of contact for the Centre, providing high-quality front-line service in a dynamic and fast-paced healthcare environment. This role is central to ensuring a positive and professional experience for patients, visitors, and healthcare professionals. Key responsibilities include greeting & assisting patients, managing phone & email communications, coordinating, scheduling, & confirming appointments using Microsoft Outlook. You will be responsible for accurately registering patients, maintaining up-to-date demographic & health information, all while adhering to strict privacy and confidentiality standards. Additional duties involve processing health information requests, handling incoming correspondence & mail distribution, & performing administrative tasks such as scanning, filing, copying, & faxing. The role also includes monitoring office supply inventory & maintaining an organized and welcoming reception area. Success in this position requires proficiency in Microsoft Office applications, exceptional organizational & communication skills, & the ability to manage competing priorities with sound judgment. Professionalism, discretion, & the ability to collaborate effectively with clinical & administrative teams is essential. A solid understanding of healthcare administrative processes, privacy legislation, & stakeholder relations is also necessary, along with the physical ability to perform routine office activities.

Preferred Qualifications:

Experience and competency with multiple computer systems required. Attention to detail and the ability to multi-task required. Excellent English verbal and written skills required. Ability to foster positive interpersonal and communication skills with health care team in a professional manner required. Required to work with minimal supervision, prioritize, and problem solve tasks within many changing situations. Experience with all office equipment and multi-line telephones required.
