Administrative Support III
Your Opportunity:
This position is part of the Alberta Health Services (AHS) South Zone Public Health department and is located at Bow Island Provincial Building and is responsible for warmly welcoming, greeting, and registering clients for our programs, serving as a key point of contact for community members and those seeking our services. In addition, as an Administrative Support III you will carry out administrative activities in support of our departments, interdisciplinary teams and/or other stakeholders. Your key responsibilities include customer service, completing patient registrations, scheduling of appointments, answering the phones, maintaining confidential and comprehensive client charts, filing, and faxing as required, maintaining inventory and ordering and stocking of office/program supplies, as well as inputting and validating data. Your additional responsibilities may also include maintaining waitlists, generating reports and various documents, completing timekeeping, creation of agendas and minutes and facilitation of huddles/meetings, participates in orientation and mentoring of new admin support team members, and assisting with a variety of general clerical activities in support of Public Health department operations.

Completion of Grade 12 or equivalent.
Additional Required Qualifications:Strong working knowledge and use of Microsoft Outlook, Word and Excel. Excellent working knowledge of Public Health computer applications, including Meditech, Netcare, AVBS, Genesys, Connect Care, CDOM, ER4, AVI. Effective communication skills required – oral and written. Experience working in multi-disciplinary teams. Demonstrated ability to work in a self-directed, fast paced environment. Demonstrated ability to maintain a positive attitude while being adaptable to change. Demonstrated ability to be warm, welcoming, respectful, patient and non-judgmental in working with the public and with colleagues. Strong prioritization and problem-solving skills and ability to make decisions with minimal guidance, where appropriate for role.
Preferred Qualifications:Minimum 3 years administrative support experience, at least 1 year of that within a health care facility. Graduate of a post-secondary administrative support program. Administrative support experience within a health care facility. Experience with data entry of immunizations. Experience with meeting minute taking.
