Description:

The WHS CDA Administrative Support position supports AHS with the mandatory Communicable Disease Assessment Submissions & Escalations Program by processing CDA submissions for new hires. This position also provides backup coverage to the Administrative Support position of the Director and assists with the day-to-day operation of the WHS team and provides a full range of complex administrative duties including, but not limited to: On-call phone coverage during business hours & on-call schedule entry. Recruitment processes. ePeople – Timekeeping (payroll). Calendar maintenance. Organize travel arrangements. Data entry. Transcribe, format, edit and proofread documents. Meetings (schedule, agenda creation, room bookings, audio-visual arrangements and transcribe minutes for distribution). Assist in the development of WHS communications or other documentation as required. Provide vacation and task coverage as needed for the WHS Administrative team.

Required Qualifications:

High School Diploma with a minimum of four years related experience with progressively increased responsibilities and a secondary education in Business Administration with designation as an Administrative Assistant or equivalent. In accordance with Health Information Act (HIA), Freedom of Information and Privacy (FOIP) and other privacy legislation in effect the incumbent shall comply at all times with AHS’s Information Privacy and Information Security policies.


Additional Required Qualifications:

The successful candidate will possess qualities in the following areas: Excellent communication/interpersonal/organizational skills. Ability to prioritize and balance workload. Excellent written & verbal communication. Above average attention to detail. Adaptability to change. Exemplary attendance & punctuality.


Preferred Qualifications:

Considerable knowledge in MS Word, Excel, Outlook, PowerPoint, Visio, e-People and RMS or other payroll and recruitment software experience. Proficient in learning new software/programs. Experience in a healthcare/medical setting would be considered an asset.
