Your Opportunity:

The Administrative Assistant position provides Administrative Support to the HR Business Partnership (HRBP) Corporate and Provincial Program Management Teams to which they are assigned and reports directly to the Director of HRBP Corporate Programs. This position assists with the day-to-day operation of the Management team by providing a full range of administrative duties. These include support with payroll, onboarding, recruitment, scheduling, meeting minutes and issue resolution.

Description:

This position assists in the management of correspondence, documents, data collection, manipulation, analysis and research; maintains appointment calendar, coordinates and schedules meetings, prepares meeting packages and takes and distributes minutes; processes invoices, expense claims, time entry; assists with IT issues; assists in dissemination of information to the team, staff and clients and is a liaison between Human Resources / HR Business Partnerships provincially, staff and clients, as well as external partners. Tasks assigned may be of a confidential or sensitive nature requiring sound judgment and discretion information in this field. Required Qualifications:

Completion of a two-year diploma in Office Administration, or Post-secondary education/courses in human resources. An equivalent combination of education and experience may be considered. 5 years advanced administrative support, preferably in a healthcare setting.


Additional Required Qualifications:

Competence with using human resources management system, recruitment and payroll software. Competence in the use of Microsoft Office products. Competence in the use of word processing, spreadsheets and database programs. Considerable knowledge of modern office practices, procedures and equipment. Knowledge of data entry and word-processing. Excellent communication/interpersonal /organizational skills. Excellent formatting, grammar and proofreading skills. Ability to complete duties with numerous interruptions. Ability to prioritize and balance workload. Ability to coordinate meetings. Ability to handle incoming phone calls in a courteous and effective manner. Ability to be an effective team member. Ability to be flexible and willing to learn new concepts. Ability to maintain confidentiality. Must have good command of the English language.


Preferred Qualifications:

Previous experience in a health care setting is an asset.
