Your Opportunity:

This position provides advanced specialised assistant and administrative support to the Executive Director of Hub Labs and the Director of North Hub Lab at the Edmonton Base Lab. Working with a high level of independence and minimal direction you will utilize your initiative, discretion, and professionalism in this fast-paced environment. Here you’ll have the opportunity to manage executive-level calendars, arrange and schedule meetings, prepare and distribute meeting agendas, take meeting minutes, and track action items. You’ll create, document, and maintain general correspondence, memos, spreadsheets, presentations, reports, schedules, and meeting minutes accurately and efficiently. Regular responsibilities include records management, timekeeping, assists with orientation and onboarding of new employees, submits e-Facilities requests, and assists with team event planning. This position requires you to be professional and responsible to protect privacy, use confidential information appropriately, and maintain the confidentiality and security of all information. Your organizational, communication, customer service, problem solving, conflict resolution, critical thinking, and interpersonal skills will help you succeed as you respond to operational inquiries, troubleshoot issues, and ensure communication flows smoothly between internal and external stakeholders. Required Qualifications:

Completion of post-secondary education (e.g. course(s) in office of business administration, medical office assistant).

Additional Required Qualifications:

Experience working with Microsoft Office programs and applications within the past 5 years. At least 5 years experience working as an administrative assistant or executive assistant in the last 10 years.

Preferred Qualifications:

Experience with unionized environments. Experience working in a healthcare environment. Experience with medical terminology. Experience with e-People, Adobe Acrobat, and SharePoint. Experience with timekeeping and scheduling activities. Certificates or courses in Personal Leadership, Respectful Workplace, Conflict Resolution or Change Management & Process Improvement.
